FieldMapr LLC ("we", "us", or "our") provides irrigation mapping, inspection, holiday lighting designs and mockups, proposals, jobs workflows, and related field documentation software through the FieldMapr product, including our website, web application, and mobile apps. This Privacy Policy explains how we collect, use, share, and protect information when you visit our website at https://fieldmapr.com or use our application and related services (collectively, the "Service").
Information we collect
We collect information in three broad categories: account information, business and field data you enter in the product (including data from your customers when they use portal links you send), and technical data about how you use the Service. Website visitors may also provide information through contact forms, waitlist signup, or Fielden chat.
Account information
When you create an account, we collect information such as your name, email address, organization name, and authentication credentials. If you subscribe to a paid plan or purchase mockup credits, billing details are collected and processed by our payment provider (see Payment processing below) — we do not store full payment card numbers on our servers. You may also set marketing-email preferences and optional public profile details.
Website visitors
If you submit our contact form, we collect your name, email, message, and related details. Submissions are stored in our operator inbox and emailed to support so we can respond.
If you join a waitlist, we collect your email and any information you provide, including optional marketing consent.
If you use Fielden chat on our public website, your messages are sent to a third-party language-model provider so we can answer product questions. We may log usage and rate-limit data. Website chat messages are not stored as organization workspace records.
Business, customer, and property data
You may enter information about your business, customers, service properties, irrigation systems, inspections, holiday lighting designs, proposals, agreements, jobs, and related field work. This includes names, addresses, contact details, map data, inspection checklists, design footage and counts, photos of homes and properties (which may incidentally include people, vehicles, or house numbers), notes, and other content you choose to store in the Service. You control what you enter and are responsible for ensuring you have appropriate rights and permissions to collect and store that information.
Customer-portal visitors
When a contractor sends a proposal or agreement link, the recipient (often a homeowner) may open a tokenized portal without creating a FieldMapr account. Through that portal they may review designs and terms, provide a name, typed signature, email, and electronic-signature consent. We may also record IP address, browser user-agent, and portal-view timestamps for audit and certificate purposes. That information is stored for the contractor's records and to operate the portal.
Uploaded and generated content
The Service allows you to upload files (such as property photos) and generate content (such as reports, summaries, AI-assisted text, and holiday lighting mockups). Uploaded and generated content is stored to provide the Service to you and your organization.
When you request AI features, we may send text, photos, product context, and (for lighting mockups) reference images to third-party AI providers for processing. AI output is based on your inputs; you decide what to keep, edit, or share.
We do not use your customer or property field data to train general-purpose AI models for unrelated products without consent. The exception is when a workspace explicitly opts a completed mockup in as a Fielden reference candidate and we approve it for that use — only then may eligible images be used as reference material for lighting mockup generation. Third-party AI providers process data under their own policies and agreements with us.
Location data
Features such as Locate Me on maps and optional geotags on inspection photos may use device GPS or similar location signals to position maps and document field work. We do not sell location data.
Payment processing
FieldMapr subscriptions and optional lighting mockup credit packs are processed by a third-party payment provider (currently Stripe). When you pay, payment information is submitted directly to that provider. We receive limited billing information — such as subscription status, plan, credit purchases, and transaction identifiers — needed to manage your account. We do not store full payment card numbers on our servers. FieldMapr does not process job, deposit, or other contractor-invoice card payments through its Stripe account. Please review Stripe's privacy policy for how they handle payment data.
Analytics and app usage data
We use analytics and product-usage tools (currently PostHog) to understand how the website and application are used, diagnose issues, and improve the Service. This may include page views, feature usage, device and browser type, approximate location derived from IP address, referral information, and session replay (with form inputs masked). We use this data in aggregate and identifiable form to operate and improve FieldMapr.
Cookies and session data
We use cookies and similar technologies to keep you signed in, remember preferences, secure the Service, and support analytics and session replay. You can control cookies through your browser settings, but some features may not work correctly if you disable essential cookies.
Email and communications
We use an email provider (currently Resend) to send service-related messages such as proposal links, signed documents, invoices, assignments, and account notices. With your opt-in, we may also send marketing or product-update emails. You can withdraw marketing consent in account settings or via unsubscribe links. Contractors may send emails to their own customers through the Service; those messages are sent on the contractor's behalf.
How we use information
We use collected information to:
- Provide, maintain, and improve the Service
- Create and manage your account and organization workspace
- Process subscriptions, mockup credits, and communicate about billing
- Operate proposal portals, electronic signatures, and related records
- Provide customer support and respond to inquiries
- Send service-related notices (such as security or policy updates)
- Monitor, detect, and prevent fraud, abuse, and security issues
- Analyze usage to improve features and reliability
- Send marketing communications when you have opted in
We do not sell your personal information.
How we share information
We may share information with:
- Service providers who help us host infrastructure (including our database and file storage), authenticate users, process payments, send email, provide maps and geocoding, provide analytics, and run AI text and image features — under contracts that limit their use of your data
- Other users in your organization when you use team features, according to your workspace permissions
- Your customers when you send a proposal, agreement, invoice, or portal link that includes information you chose to share
- CRM or automation tools you connect (for example Zapier or Make) when you enable inbound sync of customers or properties from tools such as Housecall Pro
- Legal and safety when required by law, to protect rights and safety, or to respond to lawful requests from public authorities
- Business transfers in connection with a merger, acquisition, or sale of assets, with notice as required by law
Public profiles
You may optionally enable a public contributor or organization profile. Profiles are off until you enable them. You control the username, bio, and other details that appear publicly.
Data retention
We retain account and workspace data while your account is active and as needed to provide the Service. If you close your account, we will delete or anonymize your data within a reasonable period, except where we must retain information for legal, security, billing, or audit purposes (including signed proposal packets where applicable). You may export certain data from the product before closing your account where export features are available.
Security
We use administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your rights and contact
Depending on where you live, you may have rights to access, correct, delete, or restrict use of your personal information, or to object to certain processing. Contractors are responsible for responding to requests from their own end customers about data the contractor collected; where FieldMapr holds that data, we will help as appropriate.
